Terms and conditions for Continuing Professional Development (CPD) courses and events.
Definitions
‘CPD Unit’ or ‘we’ or ‘Cardiff University’ or ‘us’ means Cardiff University or The Continuing Professional Development Unit.
‘Client’ or ‘you’ means the person, delegate, company or organisation booking or attending a CPD event.
‘Course’ means an open CPD course (online or face-to-face), webinar or other event. These terms and conditions do not apply to bespoke or closed courses.
‘Commencement date’ means the Start Date or Access Start Date of the Course.
‘Fees’ means the price of the Course.
‘Training Provider’ means a company or trainer delivering a Course when this is not Cardiff University.
‘Day’ means every day of the week except Saturday and Sunday, statutory holidays and Cardiff University closures.
'Exceptional Course' means a Course that has differing terms relating to the cancellation, substitution and transfer policy. Exceptional Courses are clearly marked as such on the course outline.
‘Commencement Date’ means the Start Date or Access Start Date of the Course.
‘Start Date’ means the date of the Course.
‘Access Start Date’ means the date the Client accesses the Course.
‘Courses with a Rolling Access Start Date’ means a Course that runs regularly and has multiple Access Start Dates.
‘Booking Date’ means the date that the Client booked on the Course.
Scope
These terms and conditions are applicable to all Courses.
Prices
Our website advertises the fees for all CPD courses. We reserve the right to increase the fees from that advertised on the website or other forms at our discretion and for any reason prior to the Commencement Date. Fees include all handouts, pre-course materials or manuals, lunches, refreshments and examination or accreditation costs (if applicable) for UK based clients, unless otherwise stated.
Clients from outside the UK may be charged additional costs for postage, if incurred by us. This will be clearly stated on course outlines or correspondence prior to booking.
Terms of payment
The Fee must be paid in full prior to the Commencement Date. Unpaid invoices may result in delegates being turned away on the day of the Course. If the Fee is covered by a sponsor, we strongly recommend providing a sponsorship letter or other formal documentation confirming their acceptance of liability for payment. The Client remains fully liable if their sponsor fails to make the required payment in accordance with our payment terms. Special arrangements may be separately agreed in the case of late bookings.
Courses
The CPD Unit provides training in conjunction with selected training providers. To the best knowledge of the CPD Unit, these training providers are suitably qualified and accredited to deliver the Courses offered.
The contents of Course schedules are intended for general guidance only and do not form any part of a contract. We reserve the right to make any reasonable variations to Courses, including the content and location, without notice.
The indication of course availability and location shown on the Cardiff University website is for general guidance and does not form any part of a contract. Please contact the CPD Unit before making any travel or accommodation arrangements as we will not be liable for any action that you may take in reliance on the information.
It is the responsibility of the Client to ensure that the delegate meets the prerequisites of the Course on which they are booked, and that the Course content meets their requirements.
Unless otherwise indicated, all Courses are delivered in English, and all delegates must be sufficiently proficient in English language before attending a Course.
Technical support and access
If you are unable to access an online Course, we will use reasonable endeavours to provide a solution where we have direct control over the system, software or settings involved. If the issue lies with your hardware, systems, software or settings thereof, we may, at our discretion, provide assistance to you to help you resolve the issue but we cannot guarantee that any assistance provided will resolve your issue.
We will not be held responsible for any delay or disruptions to your access to an online Course as a result of any firewall restrictions that have been placed on your network or the computer you are using, failures of telecommunication links and equipment, or updated browser issues.
Copyright
Copyright and all other IPR (Intellectual Property Rights) in all Course materials, shall remain the property of Cardiff University. You are prohibited from making a copy or permitting the copying of Course material, nor permitting their disclosure to a third party, nor using these materials to run your own Course.
Cancellation, transfers and substitutions (for all Courses except Courses with a Rolling Start Date or Exceptional Courses)
Please note we will send Course details (such as location, timings, pre-course tasks and for online courses, Teams/other login details) and confirmation that the Course is going ahead as follows:
- 14 Days prior to the Commencement Date (unless stated otherwise).
Substitutions
Where a Course includes elements of eLearning, live online and / or face-to-face teaching, substitutions will not be permitted once you have accessed/downloaded the eLearning element.
We will endeavour to accommodate requests by the Client to substitute one delegate for another, but we're under no obligation to do so. Such requests are subject to the replacement delegate meeting the pre-requisites for the Course.
In the event of a substitution, the Client shall pay any unavoidable costs relating to the change.
Transfers
Where a Course includes elements of eLearning, live online and / or face-to-face teaching, transfers will not be permitted once you have accessed/downloaded the eLearning element.
In the event that a delegate is unable to attend the Course booked, we will endeavour to transfer the delegate to an alternative Course.
If this is requested 14 or more Days before the Commencement Date of the original Course, then the only charges applicable will be an administration fee of £50 plus any difference in the fees. If a transfer is requested within 13 Days, then the cancellation fee below shall be payable.
Transfers must be to a Course within the same calendar year. Delegates may only transfer once. The Client must put the transfer request in writing to train@cardiff.ac.uk.

Cancellations
Where a Course includes elements of eLearning, live online and / or face-to-face teaching, cancellations will not be permitted once you have accessed/downloaded the eLearning element.
The Client may cancel the Course booking by notifying us in writing. The Client shall also be deemed to have cancelled their booking if a delegate does not attend.
In all cases, the Client must confirm the cancellation in writing by emailing train@cardiff.ac.uk, accompanied by supporting evidence (if applicable).
The Client will be liable to pay a cancellation fee:

Specific terms for Courses with a Rolling Access Start Date
Courses with a Rolling Access Start Date are subject to separate terms and conditions relating to cancellations, transfers and substitutions, as follows:
The Course is deemed to start on the Access Start Date. Cancellations are permitted up to 5 days after the Booking Date as long as this is prior to the ‘Access Start Date’.
After this, cancellations are not permitted. For the avoidance of doubt, transfers and substitutions are not permitted for Courses with a Rolling Access Start Date.
You should refer to the course confirmation email (sent when you have paid for the Course) for details on how long you have access to the Course.
Exceptional circumstances will be considered by the Head of CPD Unit.
Specific terms for Exceptional Courses
Exceptional Courses are subject to separate terms and conditions relating to cancellations, transfers and substitutions, as follows:
Substitutions
The CPD Unit will endeavour to accommodate requests by the Client to substitute one delegate for another but is under no obligation to do so.
Client’s requests are subject to the replacement delegate meeting the pre-requisites for the Course and undertaking the full application process. The Client must submit requests for substitutions no less than 28 days before the Commencement Date. If a substitution is requested within 28 days, then the cancellation fee shall apply.

Transfers
Transfers are not available on Exceptional Courses.
Cancellations
Where we have designated a Course to be 'Exceptional', and you are a Client booking delegates, the following charges apply:

It is at the discretion of the Head of CPD Unit whether the above can be amended.
Exceptional circumstances will be considered by the Head of CPD Unit.
If we cancel or postpone a Course
We reserve the right to cancel or postpone any Course. In such circumstances, fees will be refunded in full. We will not be liable for any other loss or expense arising from the cancellation of the course, including travel or accommodation costs.
In the event that we cancel or postpone a Course, delegates will be contacted via email and offered a rescheduled date (if available).
