Cardiff University Supporters Code of Conduct

This Code of Conduct outlines the expectations for all supporters of Cardiff University. It applies to all forms of engagement - whether in-person, online, or written - and aims to foster a respectful, inclusive, and positive environment.

Respect for others

We expect our supporters to:

  • Treat everyone with respect and recognise their dignity, regardless of background, beliefs, or identity.
  • Value diversity and embrace cultural and personal differences.
  • Understand that harassment, discrimination, or intimidation will not be tolerated.

Examples of unacceptable actions include:

  • Harassment, including insulting comments, inappropriate jokes, unwanted physical contact, or sexual harassment.
  • Bullying, such as intimidating or malicious behaviour intended to humiliate or undermine others.
  • Disruptive behaviour, including irresponsible alcohol or drug use at events.

Professionalism, integrity and communication

We expect our supporters to:

  • Act with integrity and reflect the values of the university in their actions.
  • Represent themselves honestly, avoiding false claims about qualifications or affiliations.
  • Only use the University’s name, branding, or platforms for approved activities that align with our strategy.
  • Understand that their affiliation with the University should not be used for personal, political, or commercial gain.
  • Communicate respectfully and professionally across all platforms.

Confidentiality and data protection

We expect our supporters to:

  • Respect confidentiality and handle any personal or sensitive information in line with data protection laws and University policies.
  • Not use such personal or confidential information for personal or commercial benefit.

Conflicts of interest

Supporters should disclose to the Development and Alumni Relations Office any connections or activities that they believe might conflict with their role in or relationship with the University.

Volunteer guidelines

We expect our volunteers to:

  • Work respectfully with other volunteers and University staff.
  • Offer guidance based on personal experience but avoid making promises outside their role.
  • Understand there will be no payment for their role, except for pre-approved expense reimbursements.

Donor guidelines

We expect our donors to:

  • Understand donations are voluntary and philanthropic, not transactional.
  • Understand that donations are not to be used for personal gain or to impose conditions that benefit themselves or others personally.
  • Support the University’s core mission without attempting to influence operations.

Reporting and queries

Any concerns or violations of this Code should be reported to the Development and Alumni Relations Office (DEVAR). Reports will be handled promptly and investigated in line with the University’s policies.

Failure to follow this Code of Conduct may result in appropriate action, such as written warnings, removal from events, or restricted access to the University.
