What is the Web Transformation Project?

The Web Transformation Project is a University wide project that has been commissioned by the Vice-Chancellor to deliver improvements to Cardiff University’s web presence for all users.

What is the project aiming to achieve?

The project aims to deliver improvements in technology, web site structure and management protocols as well as the provision of greater intranet / extranet capabilities. An emphasis on quality and consistency of information over quantity is paramount as well as a reduction in duplication of information.

The project aims to create greater distinction between information that is required by internal and external users, to enhance usability and sustainability.

How is the project being managed?

A Project Manager has been appointed to oversee the project and he is currently liaising with all relevant parties and reporting to a Steering Group of representatives from Schools and Directorates which is chaired by the Deputy Vice-Chancellor Elizabeth Treasure.

What is the timescale of the project?

The project is not a single event but a rolling programme of projects starting with the current start-up phase. A Business Case for the rolling programme is currently being developed which will include a number of options and recommendations for how the project is taken forward.

Will the project result in a new Content Management System to replace Rhythmyx?

The Project will select a Content Management System (CMS) that is intuitive and reliable for users which will replace Rhythmyx. However, the project is not trying to identify a single CMS that will meet the needs of all Schools and Divisions. It is more likely that a combination of tools will be indentified that collectively form the platform for Content Management across the University.

It is important to state that the project is not solely about a replacement for the Rhythmyx Content Management System, but about changing how the University structures and manages its web presence in a way that maximises its impact.

 

I currently manage and publish content for my School/Division – what does this mean for me?

Input and feedback from staff who manage the University’s web pages is of paramount importance. The project team will be consulting staff primarily via the Web Users Group but may also make direct contact with staff who manage web pages.

All staff are asked to make themselves available to contribute to this phase of the project when invited.

As the project progresses, comprehensive guidelines and support will be provided to assist staff who manage web pages within Schools and Divisions.

Will Schools / Divisions still have the same level of control over the content on their web pages?

Whilst a governance framework and policies for the management of the University’s web presence are being developed, this will not be about rigid uniformity and conformity. There will remain substantial discretion at School level to protect and enhance the character of School web sites.

What are the next steps?

The project team are currently defining an improved web site structure and management protocol, and will continue to consult users throughout this phase of the project.

The output of this work will form a core element of the Business Case, and, along with a high level plan for the implementation of the recommendations , will be presented to the university for approval to proceed.
