Cardiff People Countdown Begins

Staff, managers and those applying to work at the University will see significant changes from early 2012 as “Cardiff People”, a Programme to introduce a user friendly, high quality people management and payroll system gets under way, with paper based activities moved online.
The new system will cover a range of areas from appraisal and probation, learning and development, personal information, absence management and Payroll. All features will be delivered via a single system ending duplication.
Helen Mullens, Cardiff People Human Resources Functional Lead, says: “People will manage their own information online. They’ll get complete visibility of their data such as the status of a holiday request or a notification that a pay increase has become effective.
“It’s going to be a positive change for our staff who have previously had to do everything on paper. It will mean staff spend much less time processing paperwork and can focus on the business of supporting our employees and managers.”
The first major switch will see the introduction of a new online recruitment system, with all aspects of the application process moved online. Helen added:
“Representatives from across University are currently developing this new electronic process which will raise our employer profile, providing intuitive and efficient recruitment practices making life easier for applicants and recruiters alike.”
To ensure the new programme works efficiently for all an eRecruitment Operator Group, with membership drawn from across Schools and Directorates has been established. The group will influence the design of systems and processes, help with testing and roll out training, acting as local champions by supporting colleagues once it has gone live.

Subsequently, Autumn 2012 will see the introduction of a new people management and payroll system. The system will deliver a range of online benefits for employees and managers available via PCs and mobile devices, including:
- Booking and approving annual leave;
- Viewing and updating personal information;
- Accessing and printing payslips;
- Viewing and booking training courses from all in-house providers;
- Submitting and approving time sheets
- Updating working patterns and other terms and conditions changes;
- Producing up to date Budgeting and management information.

Implementation of the people management and payroll system will be phased to ensure minimum disruption and maximum impact and will continue throughout 2012 and into 2013. The Programme Team is currently planning the roll-out and dates will be published in due course.
