Do I need to take any action upon receipt of my results?
Receipt of results
If your examination results are sent to UCAS directly by the awarding body, you do not need to send copies of your results to us unless you are requested to do so.
You will find details of the qualifications for which results are sent to higher education institutions via UCAS on the UCAS website at http://www.ucas.ac.uk/students/results/examresults.
If your results are not sent directly to UCAS, you must send official evidence of your results to us as soon as they become available, using the contact details below. Official evidence can be a copy of your original result certificate or transcript, or a letter from your school or college confirming your results, printed on headed paper with an official stamp. Whilst the University can confirm a place on the basis of copies of certificates, you may be required to produce original documentation at any time whilst undertaking your studies at Cardiff University.
It is also very important that you notify the University of any new or amended examination results as soon as they are available. The University is committed to confirming an applicant's place when all conditions of the offer have been satisfied by 31 August, in accordance with UCAS scheme rules. The University has discretion in confirming decisions which are dependent on results submitted after this date, including improved grades arising from an awarding body appeal. If a programme is full at 31 August, the University may make an offer of deferred entry instead.
Confirmation of your place
In the first instance, check the status of your application by using the UCAS on-line Applicant Enquiry Service (‘Track’). You can access your individual record via the UCAS website, www.ucas.com, by using your application number and a unique password. If your results are sent to us via UCAS this service is available from Thursday 18 August and Cardiff University aims to have the majority of its decisions at UCAS on Thursday 18 August; decisions are then updated several times during the day, so it is worth checking again later in the day to see if your status has changed.
The next step will depend on your circumstances:
- If you have definitely met the terms of your conditional offer or exceeded them, there is NO NEED to contact Cardiff University immediately. UCAS will confirm your place directly in writing within a few days of you receiving your results. If you are commencing your programme in September 2011, information about preparing for your arrival at Cardiff can be found at www.cardiff.ac.uk/welcometocardiff.
- If you have not met the terms of your conditional offer, your application will be referred by Registry to the appropriate Admissions Tutor at Cardiff University for consideration. It may take a few days for decisions to be finalised, particularly if you have missing results or are waiting for late results (e.g. GCSE results). You should check the status of your application via UCAS Track. If your place has been confirmed, you do not need to contact the University. You will find further information about preparing for your arrival at Cardiff on our web pages (www.cardiff.ac.uk/welcometocardiff). If no decision has been made, and you would like advice about the progress or outcome of your application, you must contact the appropriate Admissions Tutor. Once a decision has been made, you will be able to view our decision via UCAS Track and will receive written confirmation directly from UCAS within a few days.
- If you have not met the terms of your offer but are appealing any of your examination grades, the University is unable to review its decision until it has received the outcome of the appeal and any amended results. The University has discretion in confirming decisions which are dependent on results submitted after 31 August, including improved grades arising from an awarding body appeal. If a programme is full at 31 August, the University may make an offer of deferred entry instead.
Data Protection Act 1998 requirements surrounding third party requests for information
If you know you are going to be away travelling or otherwise unavailable around the results publication period, you will need to read and act on the following information:
The University is bound by the requirements of the Data Protection Act 1998 to treat applicants’ personal information, which includes details of their UCAS application(s), as confidential and may only disclose this information to a third party with the applicant’s express permission. We recognise that the publication of results is an anxious time for applicants and they may want parents, guardians or teachers to speak with the University on their behalf. If a member of our staff is unwilling to disclose an applicant’s information to a third party and insists on speaking or corresponding directly with the applicant, it is because the staff member is observing the requirements of the Data Protection Act 1998; please do not be offended by such a request.
If you have provided details of a named contact in your UCAS application you do not need to provide this information again. If you have not done this you can notify the Admissions Team in writing (either by letter or e-mail) of person(s) who are authorised to discuss your application with the University and make decisions on your behalf using the contact details below.
If you are taking a gap year and planning to travel, you can also use this letter to indicate the authorised person with whom we can correspond during your gap year.
