What does 'Migration to GroupWise' mean and how will I be affected?

During migration your mailbox location will be moved from Pegasus mail to GroupWise, which means that all new mail will be delivered to GroupWise and not to your Pegasus mail New Mail folder.

After your mailbox has been migrated you can use GroupWise for all your mailing functions including the added functionality of calendaring, scheduling and shared diaries.

Where is my new mail after migration to GroupWise?

After GroupWise migration your new mail will be in your GroupWise mailbox. This will be the default view when you run up GroupWise. To run GroupWise go to Start, Networked Applications, General Software, Internet, Web & Email, GroupWise.

Why has my auto forwarding and mail filtering ceased to work?

After migration your mail is no longer being delivered to your new mail folder in Pegasus mail so these will not work any more. These need to be set up in GroupWise and full instructions can be found in the GroupWise user guide (pdf file).

What about my old mail?

Your old mail will still be in your Pegasus mail folders and will not be moved or altered in any way.

Will any new mail still be delivered to Pegasus?

It is possible that some new mail may be delivered to your Pegasus mailbox. This includes receipt confirmation messages from mail you have sent from Pegasus, any mail sent to username@forest and any mail sent by a Pegasus user and addressed just to username .

For this reason you are advised to autoforward your Pegasus mail to your GroupWise mailbox. To do this go to Start, Networked Applications, General Software, Utilities, GroupWise, Autoforward Pegasus Mail.

If I use GroupWise as my mailer, how can I see my old mail which is still in Pegasus mail?

You can run up Pegasus Mail at any time and all your old mail will be there.

In GroupWise go to Accounts, Account Options. A Create Account window will open. Enter an account name (e.g. Pegasus) and from the drop down list select IMAP4 as the account type. Click next.

A Create Internet Account window will open.

Incoming mail server (IMAP4): Fizzy.cf.ac.uk

Login name: Usual login name (eg SISXXX)

Outgoing mail server: Fizzy.cf.ac.uk

Email address: Your mail address (e.g. someone@cf.ac.uk)

From Name: Your own name

Click next

Choose Connect through my Local Area Network (LAN).

Click next

A Create Folder window will open. This allows you to rename the folder and change position in your folder list if required. Click Finish.

You will now see a folder called Pegasus. To access your Pegasus mail click on this folder. You will get aLogon to Pegasus box. Enter your normal username (e.g. SISXXX) and password. Tick the save password box if you do not want to be prompted to do this every time you access the Pegasus folder.

NB. Please be careful when logging in to Pegasus the first time. If you make a mistake you cannot get the log on box back and will have to start again.

You should not file new GroupWise mail in the Pegasus folders as mail may be lost.

Can I send GroupWise mail from Internet Explorer?

How do I change my GroupWise password?

To change your GroupWise password go to Tools, Options, Security, Password. This should not be the same as your NDS password and will not expire. If you would prefer not to have to enter this password whenever you run GroupWise then tick the box which says No password required with NDS .

Note that if you have set up IMAP to Pegasus mail and you then change your NDS password then this needs to be reflected in your IMAP folder configuration. To make this change right click on your Pegasus mail IMAP folder and select Properties. Click the Server tab and enter your new password.

What about the filters and autoforwarding I set up in Pegasus mail?

These cannot be transferred to GroupWise and will cease to work.

How do I create a copy to self?

In GroupWise these are called sent items rather than copies to self. This setting is on by default in GroupWise and copies of your messages will be automatically stored in the Sent Items folder.

How do I confirm delivery and reading/opening of messages?

You need to go to Tools, Options, Send Options, Mail. Create a sent item to track mail should be ticked as it is the default setting and enables sent items (see above). You can choose how much information you want tracked and how you want to be notified. You need to repeat this procedure for appointments, reminders and tasks if you would like these tracked aswell. Confirmations will currently only work between internal GroupWise users.

Can I move things from my Sent Items folder?

In GroupWise version 6.5, you can now move items from your Sent Items folder by click and drag.

If you move an item out of the Sent Folder, it will only appear in the location to which it was moved.

How do I save a Sent Item to a specific folder?

Before clicking on Send, go to Edit, Select Folder and select the folder to which the sent item will be saved. Note that you will not get a Sent Item in Sent Items folder.

How do I create a button so that I can easily file a Sent item in a specific folder?

  • Create a new Mail message (File, New, Mail).
  • Right-click on a blank space on the toolbar and select Customize Toolbar.
  • Click the Customize tab.
  • Select the Edit category.
  • Then select the button which represents a folder with a looping blue arrow over the top. Its description reads Move or link the selected items to another folder.
  • Click Add Button then OK. The new button now appears in toolbar of your new mail window.
  • If you want this button to file Sent items for other types of item you will have to repeat this process for each type (appointments, tasks and reminders).
  • Before sending mail click the Move/Link to Folders button then select a destination folder.

Please note: This process creates a link in the selected folder. These links are not visible when looking at folders via IMAP from Pegasus or any other IMAP client.

I'm confused by the way Sent Items works, can I turn it into a 'real folder with real contents'?

GroupWise 6.5 has now changed the Sent Items folder so that it is a real folder with real contents.

Why are my attachments not being deleted from C:\TEMP?

When you receive an attachment and open it in an application and then close GroupWise before you close the application, the attachment remains in C:\TEMP and is not deleted. This may be of particular concern if you are viewing confidential attachments. To avoid this make sure you close the application being used to open attachments before closing GroupWise. Alternatively, you can view the attachment instead of opening it (right click on attachment then choose view attachment).

When you logout, the contents of the C:\Temp folder will be removed for security reasons.

How do I sort my mail by name?

You need to have the From field showing in your mail folder. Right click on the column headers section and you will see options to add more columns and customise which information is displayed. Once you have the From column you can click on it to order the messages.

If I forward mail to an external address why I am not shown as the sender?

This is because when autoforwarding is set up you can then see who sent the original message is from, otherwise it looks like you sent them to yourself and can only tell who really sent it by looking in the full headers. To ensure that this does not happen, forward your mails as text in the body of your message rather than forwarding as an attachment. When you forward a mail click in the down arrow at the bottom of the forward button and choose Forward rather than Forward as attachment.
Please note that the forward button remembers which setting you last used and will continue to use this as default until you change it.

How do I set up an Autoreply from GroupWise?

It is recommended that you use the enhanced features (on campus use only) of GroupWise to set up your Auto Reply.  Full instructions on how to use this can be found in the GroupWise Enhanced Features guide (pdf file).

How do I create a GroupWise filter to move suspected spam into a spam folder?

When I click on an internet link to send mail, how do I get GroupWise to run up instead of Pegasus?

Go to Start, Networked Applications, General Software, Utilities, GroupWise, Set GroupWise as default mailer. Once you have run this utility you will be able to click mail links in Internet Explorer and GroupWise will open.

Please be aware that this will only work from actual links in webpages and not from the button in the Internet Explorer toolbar. If you would like to remove the mail button in the Internet Explorer toolbar, right click on the toolbar area and choose Customise. Under the current toolbar buttons select mail and choose Remove and then close the window.

How do I edit attachments sent to me in GroupWise?

You should always save an attachment before you attempt to edit it in any way. Right click on the attachment and then choose Save As. If you do not save your attachments before editing, there is a risk that your changes may be lost and it may not be possible to recover them.

It is possible to detach the attachments in a mail message and then save or delete the attachments while creating a copy of the email message.  See the GroupWise Enhanced Features for On Campus guide (pdf file).

How do I find an Email address?

Use the Novell GroupWise Address Book. You can access this from the Address Book icon or Tools, Address Book.

In the Look for field start typing the last name of the person you are looking for, followed by a comma, a space and the first name (e.g. Smith, A).  If the user you require does not appear in the Address Book then type in their Cardiff Mailname (e.g. SmithAN@cardiff.ac.uk) or if they are not a Cardiff user, type their Internet mail address in the TO: field.

How do create a new address book?

Open the address book, select File, New Book.  Name your new book and select OK.

How do I create a new entry in my address book?

You cannot add entries in the Novell GroupWise Address Book, so first create your own address book (see above).  Select the address book you like the new entry to be in and select New, Contact, OK.  Choose the contact tab and enter the person's details.  You should enter name and email as a minimum.

How do I rearrange my address book so that it lists surname first?

To change the order of the address book so it's surname first go into the address book and go to view, name format. Select the books you want this to apply to and select show last name first... . Then when you put a letter in the name field under search list it will pick up users with the surname of that letter.

How do I move my address books from Pegasus Mail over to GroupWise?

How do I copy my Frequently Used Addresses from Pegasus mail to GroupWise?

  • Open Windows Explorer. (Start, Programs, Windows Explorer).
  • Navigate to your H: drive and open the folder called Pmail.
  • Within your Pmail folder find the file called Winpmfua.pm.
  • Right click on Winpmfua.pm and open with notepad.
  • Go to File, Select all and then choose File, Copy.
  • Go to GroupWise and open a new mail. Right click in the To: field and choose Paste.
  • Still in the new mail window click on the Address Book icon on the right side of the window.
  • The Address Book will open and you should see all your frequently used addresses on the right side.
  • Select them all (by selecting the first address then holding down the shift key while clicking on the last address).
  • Make sure the tab of the address book you want to copy the addresses to is open and then click and drag all the addresses over into the address book.
  • Once they have copied you can right click on the addresses on the right side and select remove.

How do I copy an address book from Outlook Express?

  • In GroupWise go to File, Import POP3/ IMAP.
  • A list of email clients will appear. Select the client you want to import from and choose.
  • If you have set up more than one identity choose which one you would like to use for your import, then choose Next.
  • Untick email messages and account settings, leaving only address books ticked. Choose Next.
  • Type in a name for the new GroupWise address book to contain the imported addresses and choose next.
  • A window will then show you what you have selected, if you are satisfied with your choice click Next.
  • The import will then take place. When this has completed click Done. In GroupWise you will then see a new address book with your imported address in.

NB. You must have entries in the Name field of your Outlook address book in order to use this function (not just the First name, Last name fields).

How do I move distribution lists from Pegasus Mail to GroupWise?

To copy multiple distribution lists from Pegasus mail:

  • Go to Start, Programs, Command Prompt.
  • At the H prompt (H:>) type LIST2GRP (this will not work from C:).
  • You will then be prompted to choose a GroupWise address book for the distribution lists to be copied to.
  • If you experience any difficulties running this command, or your distribution lists are not stored in your Pegasus folder, type LIST2GRP /? at the command prompt for further details or contact insrvConnect - the Information Services helpdesk - email: insrvConnect@cardiff.ac.uk , tel: 029 2087 4487.

How do I create new distribution lists?

In GroupWise distribution lists are called Groups.

  • Create a new mail (File, New, Mail).
  • In the To: field enter all the mail addresses required (either by selecting them from the Novell GroupWise Address Book or by typing them in).
  • Then choose Address Book and all the recipients should be listed on the right side.
  • Then click Save Group.
  • You will be prompted to save your group and select an address book in which to save it.

OR

  • Open the address book and select the book you would like the new group to be added to
  • Choose New, Group.  This will open a New Group window
  • Name your new group and click add
  • Choose which address book you want to add from
  • Choose the names you want to add by double clicking on them, then click OK
  • This will take you back to the New Group window
  • Click OK and the new group will be listed in the address book

On a distribution list, how do I reply to the owner of a message rather than the whole list?

If you receive mail from a distribution list and choose 'Reply to sender' it puts the name of the group in the reply field. If you want to reply to the sender choose Reply to All which puts the list name and the sender's name in the reply field. Then delete the list name.

How do I prevent all the members of a distribution list (group) appearing in the To: field?

To be sure of this put your own name in the To: field and put the group in the BC: field.

How do I add and remove mailnames from groups?

  • Open the address book.  Double click on the group you want to edit
  • Click add
  • Choose which address book you want to add from
  • Choose the names you want to add by double clicking on them, then click OK
  • To remove a name just highlight it and then choose remove

To add someone to a group they have to have an entry in an address book.  To do this - see How do I create a new entry in an address book

How do I merge Groups together to create one Group?

To merge more than one Group highlight the Group you want to make changes to and click Information and then Edit Group. The addresses of the Group will then be listed on the right side of the address book. Repeat this step for other Groups you want to merge. You will then get an Address List Disposal window, choose Merge. You can then click Save Group.

How do I edit email addresses of users in a group?

  • Open the Address Book and select the group.
  • Click on Information, then Edit group. This will place all the names in the group in the right hand pane of the window.
  • Choose mail and this will open a new mail window with all the members of the group in the drop down To: list.
  • Choose the recipient whose address you want to edit. Right click and choose Edit.
  • Then click the Address Book icon and save the group again. You will be asked if you want to replace the existing book.

How do I share an address book with another GroupWise user?

  • Open the address book (Tools, Address Book).
  • Right click on the tab of the Address Book you want to share and choose Sharing. Under the Sharing tab choose Shared with and select the intended recipient from the address book.
  • Click Add user.
  • Click OK and a window will appear informing you that the recipient will receive a message saying 'You have been granted shared access to my address book named 'address book'. You can change this message if you wish.

Please be aware that if you revoke a recipients access to an address book you have shared with them the address book will not disappear until they have closed GroupWise.

Can I send mail to organisations shown in my personal address books with a building picture?

An 'Organisation' appears in your address book when you populate your address book entries with the organisation field. This field is for information only and you should NOT use it to send mail. If you open a new mail and type an Organisation in the To: field and send it, it will appear to be sent but will not be delivered as there is no email address attached to the Organisation. This problem does not exist in GroupWise 6.5.

Busy search doesn't seem to be working. Why?

Check that you are selecting users from the Novell GroupWise Address Book. If you type entries in busy search may not work. In addition, check that the users you are trying to busy search do not have entries in the Frequent contacts Address Book (if they do delete them).

If you don't use your Frequent contacts address book you can turn off the autosave which captures copies of the addresses you send to. Open the Address Book and right click the Frequent Contacts tab. Choose properties then the options tab. Tick Auto Saving Off.

How do I see a comment if someone has accepted or declined an appointment?

Just double click on the accept or decline message and the comments will be in the message section.

How do I create recurrent appointments?

Create a new appointment (File, New, Appointment). Choose Actions then Auto-date, and click all the required dates and click OK. This will return you to the New appointment window. In the date field you will notice it says Auto-Date. When the appointment is sent all the appropriate dates in the calendar will be filled in. (this cannot be done after the appointment has been posted).

How do I copy appointments?

To copy an appointment right click the existing appointment. With the mouse button held down, drag the appointment to a new location. Let go of the mouse button and a menu will appear with the option to Copy. When you choose Copy this will open a copy of the appointment.

What can users on my proxy list see, if I have not granted them any access rights?

You have to grant rights to a user before they can see any of your items. However, if someone is on your proxy access list they will be able to view your folder and sub-folder names (but not the contents) even if you have not given them any proxy access.

What can users see if I give them proxy read access to my calendar?

If you give read access to another user they will be able to see all the items in your calendar and any appointments that appear in your mailbox, trash and sent items folders.

Who can see my private calendar?

If you do not give anyone access to your private calendar items then no-one will be able to see them. Please be aware that if you have given someone proxy access to your account they will not be able to see your private items at all. Private items will show up under a busy search, but of course the details remain private. In the event that someone does not use a busy search to schedule an appointment with you and sends you an appointment at a time when you have a private item in your calendar, the sender will receive a message back saying that there is a time conflict.

What happens if I delete something by accident?

By default deleted items will stay in the trash for 7 days until they are deleted. Accidentally deleted items can easily be retrieved. Open the Trash folder right click on the deleted item and select Undelete. If you want to change the number of days that your deleted items stay in your Trash folder go to Tools, Options, Environment, Cleanup.

If I archive my mail in GroupWise I can't see it from Pegasus mail IMAP, how do I unarchive items?

Go to File, Open Archive. Select the message or messages that you want to unarchive and right click. On the drop down menu you will see that Archive is ticked. Select Archive and the item will be unarchived.

I have accidentally archived my Sent Items. How do I get them back?

You can get them back in the same way as any other archived item. Click on the Sent Items folder to highlight it. Select File, Open Archive to view contents of the archive.  Highlight the items you wish to bring back, right click on them and select  Move to Archive so as to remove the tick next to the item (acts as a toggle switch).  Go back to the normal view to see items via File, Open Archive (toggle switch again).

Can I switch off the setting which makes GroupWise prompt me for a password everytime I run it up?

Go to Tools then Options. Double click on Security and then choose the Password tab. Enter your existing password and press the tab key. This will enable you to tick the check box that says No password required with NDS. Once this is ticked you will not be prompted for your GroupWise password when opening the application.

You will still require your GroupWise password when you use Webmail over the Internet.

I have accidentally put in the wrong password for GroupWise three times and now I am locked out. What shall I do?

For security reasons your GroupWise mailbox will remained locked for 30 minutes, after which you will be able to attempt to log in again. If you have forgotten your GroupWise password please call into 40-41 Park Place with your ID card or contact insrvConnect - the Information Services helpdesk - email: insrvConnect@cardiff.ac.uk , tel: 029 2087 4487. for advice. Please note that we cannot change your password without verification of your identity.

If I print from QuickViewer, why dont attachments print fully?

Attachments may not be created using GroupWise. Therefore, when you print, some formatted features may not be printed fully as they have been created using other applications. If you are printing attachments, you should print from the default GroupWise view. Close the QuickViewer (View, QuickViewer), open the attachment then print the message. If you simply want to print plain text (for example, a simple mail message) then the QuickViewer will print this without any problems.

How do I change the print font size?

  • In the main message window, right click on a message in the first column with text in (this should be the From: field unless you have configured this yourself).
  • Click on View. Within the viewing window, right click somewhere in the message text part of the window and then choose Print (Preview) Options.
  • In the print option window under 'default font' click Change and select the font and size you want.
  • Click OK and OK again to leave the Print Options window. Close the viewing window. These changes will affect any messages that are viewed as Plain Text .
  • To check if you are viewing messages in plain text got to Tools, Options, Environment, Views and check that the Default Read View is set to Plain Text .

When I print a message before I send it the date and time information is not printed, why?

If you decide to print a message before you click on the send button, date and time information is not recorded on the printout. Only messages that have been sent will show date and time information when printed out.

How many signatures can I have in GroupWise?

It is only possible to have one signature in GroupWise. If you require more than one signature you could type all your signatures in the space provided (Tools, Options, Environment, Signature). Tick the Signature box to enable it and select prompt before adding. Then when you send mail and are prompted to add the signature delete the signatures you do not want to add leaving only the required one.

On campus users can make use of an enhanced feature to create Multiple signatures.  See the Enhanced GroupWise Features guide (pdf file).

How do I change the date format from US to UK?

Go to Tools, Options, Date & Time, Format tab, Set System Format button. Check that the short date style is dd/mm/yyyy and long date style is dd mm yyyy (you may not have to change anything). Click OK and Set GroupWise to System button, OK, Close.

How do I turn off notify in GroupWise?

If you want to turn off notifications in GroupWise there are several places to check:

  • Within GroupWise go to Tools, Options, Security and choose the Notify tab. Highlight your name in the notification list and untick the boxes which say subscribe to alarms and subscribe to notifications.
  • Within GroupWise go to Tools, Options and choose Environment. Untick launch notify on start up.
  • In the system tray (bottom right corner of your screen), right-click on Notify (world) icon and select Options then the Notify tab. Check that Show Dialogue and Play Sound boxes are all unticked. Then click on the Alarms tab and untick the Show Dialogue and Play Sound boxes

How do I change the message reader font size?

To change the font size for GroupWise minimise any applications that are running and right click on Windows desktop. Select Properties, and then the Appearance tab. In the Item: field select Message Box . Alter the font as required and select Apply, OK. Please note that this is a system wide setting and will affect the font size of message boxes, buttons, folder listings and listings of folders both within GroupWise and for other message boxes outside of GroupWise.

How do I maximise my mail message window so that it keeps this setting?

If you want your message window to remain maximised each time you look at it manually maximise it by moving the cursor to a corner. When it turns into a 2- headed arrow click and drag the window to the required size. This setting should be retained and each time you open a mail message this should then be maximised. If you simply click the maximise button in the top right of the window, this setting will not be retained.

Can I use POP?

At some point in the future POP services will be discontinued and INSRV will give official notice of this.  Until that point, new GroupWise messages can be downloaded with an existing POP mail client, including Mac Pegasus Mail. To access GroupWise in this way you need to change the following POP account details, the other items must be left unchanged: (you must substitute your individual settings for items in square brackets)

The Mac Pegasus Mail POP account details are stored in File/ Preferences/Network configuration ...

The continued use of POP is a temporary measure and we urge all existing Mac Pegasus Mail users to migrate to the new WebAccess or IMAP services as soon after GroupWise migration as is convenient.

Can I use IMAP?

The IMAP service is supported for Staff and Postgraduate research students for use on campus using the supported mail clients (GroupWise and Pegasus).

GroupWise can be accessed with any IMAP capable mail client.

To access GroupWise in this way you need to set up an IMAP account with the following settings: (you must substitute your individual settings for items in square brackets)

Where is my copies to self folder?

You do not have a copies to self folder in GroupWise. Instead you have a folder called Sent items. This works in a different way to copies to self. Please see Why can't I move things from my Sent Items folder.

When I reply in Pegasus mail I get chevrons (>>>) marking the original sender's mail message, is this available in GroupWise?

Within the reply field in GroupWise the sender, date and time of the original message are marked at the beginning of the original message are marked at the beginning of the original message. For example a reply would show >>>A. Person 05/03/2002 13:58:08 >>> at the beginning of the original text, but not through the main body of text.

You may alo wish to make use of the Internet-style reply formatting chevrons.  These are only visible when using GroupWise on campus and have installed enhanced features.  The Reply Chevrons button is available on the toolbar of a Mail To: Window.

How do you mark a mail as urgent?

If you want to mark a mail as urgent click on the Send Options tab in the new mail window, and change the priority to high.

Sometimes when I create a new item I can't use 'Enter' on the keyboard to go on to the next line. Why?

This will be because you have another GroupWise window open which is awaiting an action from you. If this happens close any other GroupWise windows you have open.

Can I change the setting for interface language from English US to English UK?

The settings are already set to English UK , but because of a bug in GroupWise this is currently displayed as English US. Please do not alter this setting as it may cause GroupWise not to work correctly. If you do this by accident and need to reset it, go to Tools, Options, Environment and set the Interface Language back to English US. You will need to reboot your workstation in order for GroupWise to work correctly again.

Sometimes my mailbox indicates that I have one unread mail, but there is nothing there. It may also indicate that I have one more unread mail in my mailbox than I actually have. Why?

This is a known bug in GroupWise and will be fixed in the next release.

How do I manage a GroupWise Functional Mailbox?

This FAQ is relevant to you if you are the owner of a GroupWise functional mailbox such as Bikeclub@cardiff.ac.uk. It explains how to set the password and grant proxy access to others.


Your responsibilities
  • The owner holds the password for the mailbox. S/he is responsible for changing the initial password to a secure password that s/he can remember.
  • The owner is responsible for granting proxy access to others.
  • Use of the account must abide by INSRV regulations , see section 5.3 of the Regulations
    The owner is responsible for all use and mis-use of the account
  • If the owner is absent, s/he must ensure that arrangements are made for alternative access to the mailbox.
  • The owner must inform their local computing representative or Information Services of any change in ownership.
  • If the owner leaves and no notification has been given of the new ownership, the mailbox will be deleted.
  • When the mailbox is created, an expiry date must be specified. You will be notified at the start of this month that the mailbox is about to be deleted. You can ask your local computing representative to extend its life by providing a new expiry date.
  • When selecting the mailname, please remember that it should make sense in the context of the University. For example, if it is for Bike Club membership, then Bikeclub@cardiff is more meaningful than Membership@cardiff

To login for the first time

You only need to login to the account to change the password and to set proxy access. Thereafter you can login to GroupWise as yourself and proxy to the mailbox.

You are recommended to login to the account using the GroupWise client for Windows.

Close GroupWise

Right-click on the Notify icon (blue globe) next to the clock at the bottom right of your screen. Select Exit.

From the Start menu, select Run

In the Open box, type

C:\Novell\Groupwise\GrpWise.exe /@u=username

Note that there is a space before the forward slash.
Username is the username that you have been given for the mailbox.

You will be prompted for the initial Groupwise password for this account.


To change the password

Login to the mailbox. From the Tools menu, select Options. Double-click on the Security icon.

Select the Password tab and change the password to one that you can remember.


To grant proxy access

You should grant proxy to yourself and to any other people that you want to have access to the mailbox. You can just enable them to read the mail or you can enable to write to the mailbox.

Please note that if you give someone write access to the mailbox, they can send mail from this mail address. There is no way of telling who actually sent the mail.

Login to the mailbox. From the Tools menu, select Options. Double-click on the Security icon.

Select the Proxy Access tab.

Type the person's name in the Name box (or click on the address book button to the right). Click Add Entry

Now tick all the boxes that you want. For read and write access, tick all the four Read and Write boxes and the box "Modify options/rules/folders". Click Ok

Repeat for all the people who need access

Click Close

Close GroupWise


How to read the mailbox

Once proxy access has been set, you can read and send mail.

Windows NT

Click on the word Online at the top left of the screen (above the list of folders) and select Proxy

In the Name box, type the name of the mailbox as it appears in the Groupwise address book. Click OK

You can now swap between your mailbox and the proxy mailbox by clicking Online

Webaccess

Click on the Proxy icon in the left hand toolbar.

In the Name box, type the name of the mailbox as it appears in the Groupwise address book. Click Login

This will open the mailbox in a new window.

What is GroupWise WebAccess?

GroupWise WebAccess (also called Webmail) gives you easy access to your mail and calendar items over the Internet. It is the recommended route for Apple Mac users to access their mail, and for existing GroupWise client users access to their GroupWise account while off campus. How do I access GroupWise from the Internet?

You will have to have an existing password before you access GroupWise WebAccess.  This should not be the same as your normal login password and it will not expire.

To set this password you need to set the password in the GroupWise client. Go to Tools, Options, Security, Password. If you have already set a password when migrating from Pegasus to GroupWise then you do not need to do this again.

To access GroupWise WebAccess open any Internet browser and go to http://webmail.cf.ac.uk

Can I add a signature in GroupWise WebAccess?

In GroupWise WebAccess go to Options, Signature and add the text you require. Make sure the Activate Signature box is ticked and choose if you want to be prompted before adding the signature is added.

How long can I leave GroupWise WebAccess inactive before the connection is closed?

Please note that your WebAccess connection will be closed after a period of two hours of inactivity. If you then attempt to perform a GroupWise action, you will be prompted to login again.

Will I be able to see my archived mail from GroupWise WebAccess?

You will not be able to see your archived mail from GroupWise WebAccess. If you only use GroupWise WebAccess you should save your mail rather than archive it.

When you open a mail you will see an option to Save As for the message and any attachments that are present. If Save As is not present (it may not appear for forwarded messages) you can still use the browser’s save facilities by going to File, Save As.

Can I add attachments in GroupWise WebAccess?

If you need to attach a document then you should specify this last just before you send the message. If you add an attachment and then perform an action which requires WebAccess to communicate with the server (e.g. using the spellchecker) your attachment will be lost and you will have to add it again. You may add up to three files to any WebAccess message.

How can I get rid of script errors when using Opera to view GroupWise WebAccess?

Go to File, Preferences, Network and under Browser Identification choose Identify as Opera. Then go to File, Preferences, Multimedia and under JavaScript untick the box which says Enable Javascript. If you would prefer not to turn off Javascript then it is safe to ignore the script errors.

I’m a Mac user viewing GroupWise WebAccess on Internet Explorer. Why, when I choose a suggested date and time from busy search doesn’t it put the selected date into the appointment?

This is a bug in GroupWise WebAccess which should be fixed with the next version of GroupWise. In the meantime, you will need to make a note of the correct time and date and enter this manually.

Why are my folders not in the cabinet?

You need to single click the small cross to the left of the cabinet icon rather than the icon itself or the word 'cabinet'.
