Information for Recruiters

This section has been designed to provide a ‘one-stop shop’ of information for recruiters. In these pages, you can find guidance on advertising, details of the recruitment process and all relevant forms which are available in Word format. Please note that for some new and substantially changed posts, recruiters will need to either complete an on-line HERA questionnaire or download and use a Generic Job Description and Application Pack (see below for further details on both).

We will add to this section of the site as the various aspects of the recruitment process for the University are finalised, so please bookmark this page and check back regularly for updates.

If you have queries on any aspect of recruitment, please use the contact list below

Generic Job Descriptions and Application Packs

Please note that a working group has been set-up within HR to produce generic job descriptions and application packs for the most common jobs recruited in the University. To date, we have introduced changes to recruitment for Administrative Support roles and this work will be extended to cover other career pathways in due course.

The purpose of these is to provide recruiters with a more efficient method of producing documentation for common job roles; and to ensure a consistent and professional approach across the University.

Generic Job Descriptions and Application Packs for Administrative Support roles are now available.  (In addition, see below for example job descriptions and person specifications for other career pathways).

HERA Questionnaire

If currently suitable generic job description and application packs are not available or if you have a new or substantially changed post then you will be required to complete a HERA Questionnaire. This is a job analysis tool which determines the appropriate grade for all posts and produces a role profile. It is available on-line at:

https://www.surveys.cardiff.ac.uk/heraq

Please ensure that before completing the HERA questionnaire you download and read the guidance notes on the Recruitment Documentation page. A training course has also been developed for Recruiters, more info is available on the staff development webpage.

Please note that the online HERA questionnaire is now restricted to staff access only, when clicking on the above link you will be required to enter your staff username and password. Furthermore, it should be noted that only recruitment vacancies should be analysed using the online questionnaire, it should not be used for any other purpose including Grading Review. Information on the grading review process is available on the main HR staff index. For any other query please contact HR directly.

Schools/Directorates with a dedicated HERA recruitment contact or in-house team should submit all vacancies for scoring via the appropriate contact.

In preparation for completing this questionnaire you should think carefully about the duties and requirements of the role and have drawn up a draft job description. You should then complete the questionnaire on-line and submit it to HR along with your draft job description.

A member of the Recruitment Team will assess the completed questionnaire and will contact you with details of the appropriate grade for the role and a specific role profile which will form part of the vacancy pack along with the job description and person specification.

Please note that completion of the questionnaire will not be necessary for the following groups of staff:

Professors or equivalent management levels, Clinical Academics, Senior Lecturers/Lecturers, Senior Professional Tutors/Tutors, hourly paid staff, Research staff.

A national library of Role Profiles is available to assist you in developing job descriptions and person specifications for the above roles.

In addition, example job descriptions and person specifications are available for the following:

 Research Staff

 Lecturer Staff (Teaching and Research)

 Technical Staff
