Labelling paper files
These labels have been developed to help Schools and Divisions to mark their files with the relevant retention period from the University’s Records Retention Schedule. It is hoped that the labels will help staff to think about record disposal/review in an organised way and prevent queries arising in later years when it may be more difficult to identify why or by whom the records were created.
These labels capture:
- a file’s title;
- the date on which it was opened;
- the date on which it was closed;
- and the date on which it is to be reviewed or destroyed.
Sometimes the file’s destruction or review date will be set as x number of years after the file has been closed. In such circumstances the destruction/review date can be left blank until the file’s closure or can be used to record the retention period (e.g. closure of case + 6 years).
Labels for document wallet folders
These can be printed onto 99.1 x 38.1mm label sheets such as Niceday 980434 or Avery J8163-100.
Labels for lever arch files
These can be printed on 192x 62mm label sheets such as Avery J8171 or L7701.
